Sales / Finance / The work between them

Your business grew.
The tabs multiplied.

The lead lives in a spreadsheet. The invoice lives somewhere else. The person who knows what happened is on leave. Zoho One brings a broad set of business applications under one suite—so the conversation can move from “which tool?” to “how does the work actually flow?”

01 / Where it earns its place

When the handoffs
cost more than the tools.

A suite starts to make sense when sales, delivery and finance keep asking each other for the same information. An agency, consultancy or growing service business can evaluate Zoho around those handoffs. The goal is a working process, not a longer list of installed apps.

A useful reason to look

Several teams need the same record.

You want a clearer route from enquiry to follow-up, delivery, billing and support. Shared administration and a connected app ecosystem may reduce fragmentation when properly configured.

Begin with the handoff that fails most often. Give it an owner and a measurable outcome.

A useful reason to wait

One focused problem may need one app.

If all you need is a sales pipeline, evaluate a CRM first. If your existing tools and reporting already work, a whole-suite migration needs a stronger reason than a tidy subscription invoice.

Replacing five tools can be sensible. Replacing five habits is the harder part.

02 / What would you actually use?

Four jobs.
A more connected working day.

Zoho spans a wide catalogue. These are examples of the functions to evaluate, not a claim that every product or premium feature is included in your chosen edition. Check the current app and plan matrix.

Sales / Customer relationships

Know what happens next.

Zoho CRM supports sales records and pipelines; Bigin is a simpler CRM option. Campaigns and SalesIQ address marketing and website conversations.

Test who owns the lead, which follow-up is due and how a won deal reaches delivery.

Finance / Billing

Finish the job. Then bill it.

Zoho Books covers accounting, Zoho Invoice focuses on client billing and Zoho Expense addresses expense administration.

Use your actual tax, currency and reporting needs in the demo. Your accountant should recognise the output.

Delivery / People / Support

Keep promises visible.

Zoho Projects organises project work, Zoho Desk handles support tickets and Zoho People addresses HR administration.

Check responsibilities and escalation. An HR record is not proof of local payroll coverage.

Collaboration / Administration

Find the work, not another password.

Zoho Mail, WorkDrive and Cliq cover email, files and team communication. The suite also offers central user and application administration.

Test permissions, search, mobile use and what happens when someone joins or leaves.

Product context: Zoho One overview and application documentation; Zoho Books and Zoho Invoice product pages. Edition and regional limits must be checked against the current plan.

03 / How to evaluate the promise

Follow one customer.
All the way to paid.

Bring a representative enquiry into the trial. The sequence below is a test plan, not a claim that every step happens automatically on signup.

Capture

Give the enquiry a home.

Create the contact and deal. Check duplicate records, ownership and follow-up. A beautiful dashboard built on three versions of the same client is still three versions of the same client.

Agree

Turn the conversation into a commitment.

Test the quote or estimate, approval and customer information you need. Decide which application owns the definitive record and which fields move between systems.

Deliver

Show the next team what was sold.

Try a project handoff or support workflow. Confirm which integration needs enabling, what carries over and who sees a change in scope.

Close

Follow the invoice into the books.

Demonstrate billing, payment status and reconciliation with the edition and payment route you intend to use. Check fees, currency differences and exceptions—not just the successful path.

The impressive demo is the one that still works when the customer changes their mind.

04 / What does the decision cost?

Price the people.
Then price the change.

Zoho One has All Employee and Flexible User licensing models. The important distinction is who must be licensed. A headline per-user figure is not a meaningful comparison until that headcount is clear.

All Employee Pricing

The whole organisation matters.

This model requires licences for every employee under its terms. Confirm how your entity and workforce are treated, including staff who rarely use software.

Flexible User Pricing

Choose the users who need it.

This model allows licences for selected users. Compare the total bill against the all-employee option using the applicable regional quote and billing period.

Licensing context: Zoho One pricing FAQ. Pricing depends on your region, edition and billing period; confirm the current quote rather than applying a headline rate to the wrong headcount.

Subscriptions
Confirm edition, currency, billing period, user categories, applicable tax and renewal terms.
Implementation
Budget for clean data, migration, configuration, integrations, permissions and training.
Extras and limits
Check storage, API allowances, app feature limits, support and any paid extensions.
Tools you can retire
Count a saving only when you can actually cancel the old subscription without losing a required workflow.
05 / The Malta checks

A global suite.
Your actual obligations.

Finance

Let your accountant test it.

Confirm the Books edition, VAT configuration, invoices, bank connections, audit trail and exports you need. Do not assume a product offered internationally includes every Malta filing workflow.

If you keep Xero, decide whether Zoho is improving sales and delivery rather than replacing the ledger. Two accounting systems are rarely a shortcut.

People

HR and payroll are different jobs.

Zoho People can organise HR work. Zoho Payroll uses country-specific editions; its public overview currently lists India, the USA, Canada and GCC markets, not Malta.

Confirm Malta payroll separately. Explore Deel or Rippling where relevant, with country and service availability checked.

Data location deserves a proper check. Zoho offers an EU data-centre region. Verify your organisation’s assigned region and review the DPA, subprocessors, access and transfer provisions. Hosting in Europe does not make your own permissions, retention or marketing practices compliant by itself.

Source context: Zoho Payroll country overview; Zoho Accounts data-centre documentation and Zoho privacy FAQ. Zoho describes provisions for access by staff outside the EU, so we do not promise that every processing activity stays inside it.

06 / Where to begin

One workflow first.
The rest can earn its place.

Start with a small group and a workflow you can measure: missed follow-ups, time to issue an invoice or the number of manual handoffs. Clean the data before importing it. Assign a business owner as well as an administrator.

Then test permissions, failure handling and an export. Keep the old system available until the replacement has proved itself. Zoho’s own getting-started guidance recommends beginning with one business function and expanding step by step.

A successful rollout gives people fewer things to remember. Not merely a new place to forget them.

07 / Keep what has a separate job

A suite is useful.
So is a sensible boundary.

These tools may serve separate needs. They are not a claim of native integration with every Zoho app. Check the actual connector, plan and data flow before purchasing.

The external stack links are affiliate links. Eligibility and service scope vary. Mercury is a financial technology company, not a bank.

08 / Narrow the choice

Same shortlist.
Different reasons to choose.

09 / Straight answers

Before you move the business.

What is Zoho One?

Zoho One is a business application suite with central administration and tools across sales, finance, collaboration and operations. Check the edition, included applications and their feature limits for your region; an app catalogue is not a promise that every standalone premium feature is included.

Do I have to license every employee?

The All Employee Pricing model requires licences for every employee under its terms. Flexible User Pricing lets you buy licences for selected users. Confirm how your organisation and any special user categories are treated before comparing the bill.

Should I buy Zoho One or just Zoho CRM?

Choose a focused CRM if the main problem is your sales pipeline. Evaluate Zoho One when several connected business functions need improvement. Test an actual customer journey before committing to a suite or migrating tools that already work well.

Does Zoho One handle Malta payroll?

Do not assume it does. Zoho People is an HR application, while Zoho Payroll has country-specific editions. The public Payroll overview reviewed for this guide lists India, the USA, Canada and GCC markets, not Malta. Confirm any proposed Malta payroll arrangement separately.

Does choosing an EU data centre make my business GDPR compliant?

No. Zoho offers an EU data-centre region, but your organisation still needs appropriate configuration, permissions, retention practices and processing arrangements. Review the DPA, subprocessors and any access or transfer provisions; EU hosting is not a blanket guarantee that all processing remains inside the EU.

Can Zoho Books replace our current accounting software?

Evaluate it with your accountant using the appropriate edition, tax setup, reporting, banking and export requirements. A trial with real reconciliation and month-end tasks is more useful than assuming every local filing or bank feed is supported.

Is Zoho Invoice the same as Zoho Books?

No. Zoho Invoice focuses on invoicing and related client billing tasks. Zoho Books is an accounting product. Confirm the product and edition you need rather than treating a free invoicing tool as a complete accounting system.

Will our other tools connect automatically?

Not necessarily. Zoho offers integration and customisation options, but the exact app, connector, data-centre region, permissions, plan and sync behaviour matter. Test duplicate handling, failures, exports and the manual work that remains.

The decision

Fewer gaps between teams.
More room to run the business.

Choose the first workflow, check the edition and price the real headcount. If Zoho makes the handoffs clearer without adding unnecessary complexity, you have a reason to keep exploring.
